Privacy Policy

Quick Summary

VoIP Air ("we," "us," or "our") respects your privacy. This policy explains what information we collect, how we use it, and the choices you have. We comply with applicable Louisiana state laws and United States federal laws governing data protection, telecommunications, and consumer privacy.

1. Information We Collect

Information You Provide Directly

When you request a quote, contact us, schedule an appointment, or use our services, we may collect:

  • Contact details: name, business name, email address, phone number, and mailing address.
  • Billing information: when you submit a phone bill for a savings analysis, we process the contents solely to prepare your quote. Sensitive account numbers are used only for that purpose and are not sold or shared for marketing.
  • Service preferences: number of phone lines, desired features, preferred call-back times, and contract terms discussed.
  • Communications content: messages you send through our contact forms, chat widget, or support channels.
  • Account credentials: if you create an account to access a customer portal.

Information Collected Automatically

  • Usage data: IP address, browser type, device type, pages visited, referring URLs, and approximate location derived from IP.
  • Cookies and similar technologies: used to remember preferences, analyze traffic, and improve site performance. See Section 6 below.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our VoIP services and support.
  • Prepare quotes and savings analyses based on the phone bill you submit.
  • Respond to your inquiries, schedule call-backs and appointments, and communicate about your account.
  • Send service notifications, account updates, and — only with your consent — marketing messages by SMS, email, or phone.
  • Process transactions, issue invoices, and manage billing.
  • Detect, prevent, and address fraud, abuse, and security issues.
  • Comply with legal obligations and protect our rights and the safety of others.

3. SMS & Telephone Communications

By providing your phone number and checking the consent box on our forms, you agree to receive SMS messages and/or telephone calls from VoIP Air at the number provided, including messages sent using an automatic telephone dialing system or artificial/prerecorded voice. Message and data rates may apply. Message frequency varies.

You may opt out of SMS communications at any time by replying STOP to any message. For help, reply HELP. You can also email us at support@voipair.com to withdraw consent. Consent is not a condition of purchasing any goods or services.

We comply with the Telephone Consumer Protection Act (TCPA) and carrier 10DLC (10-digit long code) messaging registration requirements. We do not sell or share your phone number for independent third-party marketing.

4. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Service providers: trusted vendors who help us operate our business (hosting, analytics, CRM, calendar scheduling, payment processing, and telecommunications carriers). They are bound by confidentiality and may only use your data to provide services to us.
  • Business partners: only when relevant to delivering the service you requested (for example, provisioning phone lines through a carrier).
  • Legal compliance: when required by law, court order, or to protect our rights, property, or safety.
  • Business transfers: in connection with a merger, acquisition, or asset sale, with notice to you where required.

5. Data Retention & Security

We retain personal information only as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Submitted phone bills are retained for the duration of your quote process and then deleted unless you become a customer.

We implement reasonable technical, administrative, and physical safeguards — including encryption in transit, access controls, and virus scanning of uploaded attachments — to protect your information. No method of transmission or storage is completely secure, but we work to protect your data using industry-standard practices.

6. Cookies

We use cookies and similar technologies to operate our site, remember your preferences, understand how the site is used, and improve your experience. You can control cookies through your browser settings; disabling them may limit some functionality. We do not use cookies to sell your personal information to third parties.

7. Your Privacy Rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information.
  • Opt out of marketing communications at any time.
  • Withdraw consent to SMS/text messaging (reply STOP).
  • Request a copy of the personal information you provided to us (data portability).

To exercise any of these rights, contact us at support@voipair.com or 1-985-266-0002. We will respond within a reasonable timeframe and in accordance with applicable law.

8. Louisiana Data Breach Notification

In accordance with the Louisiana Database Security Breach Notification Law (La. R.S. 51:3071 et seq.), if we become aware of a security breach involving your personal information that creates a reasonably foreseeable risk of harm, we will notify affected Louisiana residents by written notice, electronic notice, or substitute notice (as permitted by law) without unreasonable delay.

9. Children's Privacy

Our services are intended for businesses and individuals aged 18 and older. We do not knowingly collect personal information from children under 13 in compliance with the Children's Online Privacy Protection Act (COPPA). If you believe a child has provided us personal information, please contact us and we will delete it.

10. "Do Not Track" Signals

Some browsers offer a "Do Not Track" feature. Because there is no universal standard for how such signals should be interpreted, we do not currently alter our data practices based on these signals. We respect the opt-out mechanisms described in this policy.

11. Third-Party Links

Our site may contain links to third-party websites. We are not responsible for their privacy practices and encourage you to review their policies. This Privacy Policy applies only to information collected by VoIP Air.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the "Last updated" date above. Material changes will be communicated through our website or, where required, by direct notice. Continued use of our services after changes constitutes acceptance of the updated policy.
